Presenters Guidelines

Oral presentations of Invited and Contributed papers will be programmed in 20 minute time slots starting at :00, :20 and :40 minutes past the hour. Presenters should plan 15 minutes for the presentation to be followed by 3 minutes for questions then 2 minutes for change-over to the next presenter and for delegates to move between rooms. Session chairs have the responsibility to ensure the session stays on time, and will enforce this timing.

Authors should bring their presentations (in PowerPoint or PDF format), on a USB stick or CD/DVD-ROM, and must upload them to the computer in the Author’s Lounge (1st floor) well before, preferably one day before their scheduled presentation. Conference staff will assist authors with loading of the presentation and will transfer the presentation files to the computers in the presentation rooms.

Authors must go to their allocated meeting room 15 minutes before the session start time (during coffee breaks and lunch time) to identify themselves to the session chair and to check the presentation is ready. All presentations in the session will occur at the times published in the final program.

Each meeting room will be equipped with a PC computer running Microsoft PowerPoint (MS-office 2010) and Adobe Acrobat Reader (10), a projector and screen, lectern, microphone, laser pointer and standard audio playback. Any additional equipment is considered special equipment, which must be ordered in advance. The special equipments will be fulfilled if possible, but are not guaranteed. In this case please see your chairperson or technicians for assistance, but in any case do not disconnect the meeting room computer.

There are three Poster sessions, one on Tuesday (14:20 – 17:00 h), one on Wednesday (14:20 – 17:00 h) and one on Thursday (13:00 - 16:00 h). Please check the program to find your poster session.

The poster boards will be set up in the Poster Area, on the ground floor of the Aalborg Congress and Culture Center. Each board will have the paper number for the allocated poster for that session (as listed in the program schedule).

Poster boards and fasteners will be provided. The board allocated for each poster is 250 cm high and 200 cm wide. So posters prepared according to e.g. twice the ISO standard A0 size (1189x841 mm) will fit. There is no general template.

The posters should be fixed on the boards during the first session of the day, i.e. between 8:00 and 10:00 h. Please place your poster on the correct board by the commencement of the poster session and remove it at the end of the day. Any posters left after the day will be removed by the conference staff to clear the board for the next session. Presenters are responsible for the safe storage and maintenance of their posters. The Congress Secretariat will not accept responsibility for any lost or damaged posters.

During the time for each poster session authors are requested to be present at their poster for general scientific discussions.
